Position Overview The Project Coordinator plays a pivotal role in ensuring that all projects under their supervision are implemented efficiently, in compliance with Acted’s internal policies and donor requirements. This leadership position demands strong project management, coordination, and communication skills to guide teams, manage partnerships, and ensure that operations meet quality and accountability standards. Key Responsibilities Project Implementation and Follow-up Planning: Organize timely project kick-off and closure meetings. Ensure that each project has a clear implementation strategy and detailed work plan. Collaborate with Project Managers to plan stages of implementation, set objectives, and allocate resources efficiently. Implementation Oversight: Supervise technical quality, ensure adherence to standards, and provide hands-on support in troubleshooting and mitigating implementation challenges. Monitoring: Track project outputs, budget expenditure, and timelines to guarantee successful completion of deliverables. Quality Control: Oversee the implementation of field-based MEAL systems, conduct site visits, and ensure that lessons learned are captured and applied across projects. Partnership and Stakeholder Management Implementing Partners: Support Project Managers in managing relationships with partners, ensuring timely delivery of project outputs in accordance with donor and Acted standards. Coordination: Facilitate review meetings, address issues promptly, and maintain positive collaboration with local authorities, non-state actors, and community stakeholders. Beneficiary Engagement: Promote respectful and inclusive communication with beneficiaries, ensuring their input shapes project implementation. Administrative and Operational Management Finance: Review project budgets and expenditure frameworks (BFUs), ensuring accurate forecasting and adherence to budgetary guidelines. Logistics: Contribute to procurement planning, supplier selection, and ensure compliance with origin and nationality rules. HR and Administration: Support recruitment processes, manage staff appraisals, resolve conflicts, and foster a positive working environment that encourages capacity building and teamwork. Compliance: Guarantee that all project documentation—including financial records, beneficiary lists, and attendance sheets—is prepared and stored according to Acted’s transparency and compliance standards. Security and Risk Management Collaborate with security focal points to assess risks, develop Minimum Operating Security Standards (MOSS) and Standard Operating Procedures (SOPs) tailored to each context. Ensure project teams are trained, aware, and compliant with Acted’s security protocols to minimize risk in challenging environments. Partner Capacity Building Work with the FLATS team and Area Coordinators to ensure partner compliance with Acted’s procedures. Conduct due diligence assessments, develop organizational development workplans, and support partners through targeted capacity-building initiatives. Required Qualifications and Experience Education: Bachelor’s degree or higher in Development Studies, Project Management, International Relations, or a related field. Experience: Minimum four years of field experience in program management and coordination within humanitarian or development settings. Strong organizational, analytical, and communication skills, with proven experience in team leadership. Demonstrated ability to manage projects under pressure in unstable security environments. Proven ability to work independently and creatively in both field and office settings. Willingness to live and work in remote areas under basic conditions. Conditions and Benefits Salary: €2,800 – €3,100 per month (before tax), based on education, experience, and security context. Living Allowance: $300 per month. Accommodation & Food: Provided in Acted guesthouses. Insurance: Includes pension, health, life, repatriation, and unemployment (for EU citizens). Travel Benefits: Flight tickets every six months, visa fees covered, and luggage contribution (up to 100 kg depending on contract duration). Rest & Recuperation (R&R): Every three months (location-dependent), including up to $500 in flight coverage and $200 allowance. Annual Leave: 25–43 days per year. Training: One-week pre-departure training at Acted HQ, including four days of in-situ security training. Additional Support: Free tax consultation (30-minute session) and access to psychological assistance.
