Role Overview Reporting to the Head of Services, the Client Services Officer will serve as the organisation’s first point of contact for visitors, clients, and stakeholders while supporting various administrative and operational functions. The position is classified at Grade Level V and does not include supervisory responsibilities. The successful candidate will help ensure a welcoming, professional, and efficient environment for staff, clients, partners, and visitors. Key Responsibilities The Client Services Officer will be responsible for a wide range of front-office and administrative duties, including: Serving as the first point of contact for visitors and incoming enquiries. Welcoming guests in a courteous and professional manner. Directing visitors to the appropriate departments or personnel. Managing reception and front-desk operations. Handling incoming and outgoing telephone calls. Responding to enquiries and providing general organisational information. Processing incoming and outgoing mail and courier services. Maintaining secure handling of confidential correspondence. Keeping accurate records of mail distribution and deliveries. Travel and Administrative Support The role also includes responsibility for coordinating domestic and international travel arrangements for executives, employees, and visiting delegates. Key duties include: Booking flights. Arranging hotel accommodation. Coordinating airport transfers. Managing relationships with travel agencies, hotels, and transport providers. Collecting and reviewing travel receipts and invoices. Preparing travel expense reports in accordance with company financial policies. Office Operations The successful candidate will also support the smooth operation of AFC’s office environment by: Managing office supplies and stationery inventories. Coordinating meeting room reservations. Preparing meeting facilities. Operating office equipment such as printers, scanners, photocopiers, and telephone systems. Assisting with corporate meetings, conferences, and events. Coordinating first aid support during emergency situations where required. Ensuring compliance with company security and confidentiality procedures. Additionally, the officer will collect visitor feedback to help improve client service and front-office operations. Skills and Competencies AFC is seeking candidates who demonstrate strong customer service and organisational capabilities. Preferred competencies include: Proficiency in Microsoft Office applications. Strong communication and interpersonal skills. Attention to detail. Customer service orientation. Professional appearance and confidence. Strong organisational and multitasking abilities. Relationship-building and networking skills. Tact and diplomacy when interacting with clients and colleagues. Problem-solving ability. Performance Expectations Performance will be assessed using several key indicators, including: Accuracy of information provided to visitors and clients. Timely handling of enquiries and requests. Professional presentation of reception areas. Internal and external customer satisfaction. Telephone call quality. Efficient handling and distribution of incoming and outgoing mail. Minimum Qualifications Applicants should possess: A Bachelor’s degree in: English Language, Business Administration, Hospitality, or a related discipline from a recognised university. Two to three years of professional experience in: Front desk operations, Reception services, Customer service, Hospitality, or a related administrative role. A strong understanding of professional hospitality standards and business etiquette.
