The African Initiatives for Relief and Development (AIRD) announces an opportunity for a dedicated Finance and Administration Officer to join its USA Office based in Arlington, Virginia. This part-time position, working 24 hours per week with flexible scheduling, offers the potential to transition into a full-time role depending on future funding. The officer will report directly to the Director of the USA Office, with technical accountability to the Finance and Administration Director at AIRD Headquarters. About AIRD AIRD is a non-political, non-religious, and non-profit organisation operating across multiple African countries including Burkina Faso, Burundi, Cameroon, Central African Republic, Chad, Democratic Republic of Congo, Ethiopia, Niger, South Sudan, Tanzania and Uganda. Its mission is centred on supporting the safe, dignified movement of people displaced by natural or human-made disasters and enabling them, along with their host communities, to rebuild and thrive. AIRD provides a range of operational and technical services such as transport, logistics, infrastructure rehabilitation, sustainable livelihoods programming, WASH initiatives, and environmental sustainability interventions. Working alongside international agencies, donor organisations, governments and development partners, the organisation ensures that displaced communities receive effective and accountable support. Job Summary The Finance and Administration Officer plays a central role in maintaining strong financial and administrative systems within the USA Office. This position ensures that AIRD’s work is supported by accurate financial management, sound administrative practices, and consistent compliance with organisational policies and donor requirements. The officer is responsible for statutory reporting, procurement oversight, financial documentation, and coordination of administrative functions necessary for efficient office operations. This role is essential in promoting integrity, transparency, and accountability across all financial and administrative workflows. General Administration Responsibilities The Finance and Administration Officer will oversee a range of administrative and logistical duties, including: Managing office documentation through organised filing, scanning and record-keeping systems. Safeguarding office assets by maintaining accurate office records and inventory systems. Coordinating repairs, servicing and maintenance schedules for office equipment. Providing logistical support for meetings, trainings, retreats and airport transfers. Guiding the procurement process for goods and services in alignment with AIRD’s procurement policy and donor regulations. Monitoring office supply needs and ensuring timely replenishment. Overseeing the stores by maintaining proper arrangement and storage of items, updating stock cards and issuing supplies based on authorised requisitions. Updating the assets register on a quarterly basis to ensure accurate labelling, tracking and verification of all physical items. Accounting, Financial Reporting and Compliance The role requires strong technical financial abilities, with responsibilities including: Recording financial transactions accurately and promptly in QuickBooks. Managing petty cash in accordance with AIRD’s financial policies. Monitoring cash flow and budget utilisation while flagging potential over-expenditure to management. Supporting development of the office’s annual budget. Preparing monthly and annual expenditure reports, including Budget Versus Actual (BVA) reports for Headquarters. Producing monthly bank reconciliation statements. Ensuring adequate budget availability before authorising expenditures. Managing statutory deductions, ensuring correct computation and timely remittance to relevant authorities. Processing service provider invoices and ensuring timely settlement of bills. Safely maintaining cheque books and other sensitive financial documents. Supporting audit processes by making relevant documentation available and assisting auditors throughout their review. Monitoring accounts payable and receivable to ensure prompt clearance. Maintaining a complete and well-organised financial filing system with proper references and coding. Performing any additional tasks assigned in support of office operations. Minimum Qualifications Candidates should demonstrate: A minimum of a bachelor’s degree in accounting or a related field, or an equivalent professional accounting qualification. At least three years of experience in finance and accounting. Strong English language skills, both written and oral. Proficiency with accounting software such as QuickBooks. Experience working with international development partners, INGOs or donor-funded organisations. Additional Competencies The role requires strong organisational skills, professionalism, ethical conduct and the ability to prioritise tasks under pressure. Candidates must demonstrate strong interpersonal communication abilities, effective problem-solving skills, and the capacity to maintain positive working relationships internally and externally.
