This role offers an exciting opportunity to contribute to the daily operations of a diplomatic mission and support the Embassy’s administrative and consular functions in Nairobi. About the Position The Administrative Assistant will play a key role in ensuring the smooth and efficient running of the Embassy’s day-to-day activities. Working under the supervision of the Head of Chancery, the selected candidate will support administrative, clerical, and logistical functions across the Embassy, including documentation, correspondence, scheduling, and liaison duties. This position is ideal for an individual who demonstrates strong organizational skills, discretion, attention to detail, and professionalism. Contract Type: Fixed-term appointmentDuty Station: Embassy of Peru, Nairobi, KenyaApplication Deadline: Sunday, 9 November 2025 Key Responsibilities The Administrative Assistant will provide comprehensive support to the Embassy’s administrative operations. Main responsibilities will include: Assisting in the management of office correspondence, filing systems, and archiving of official documents. Handling incoming and outgoing communication, including letters, phone calls, and emails, with a high level of professionalism and confidentiality. Supporting the coordination of official appointments, meetings, and events, including logistics and hospitality arrangements. Assisting in the preparation, formatting, and translation of official documents, reports, and communications as required. Managing basic financial and logistical records, such as office supplies, petty cash, and procurement documentation. Liaising with service providers, government offices, and partner organizations on matters relevant to the Embassy’s operations. Providing administrative and logistical support to the Ambassador and diplomatic staff as required. Assisting in reception duties, welcoming guests and visitors to the Embassy, and ensuring excellent representation at all times. Supporting internal coordination between administrative, consular, and cultural sections. Qualifications and Experience Minimum Requirements: A Bachelor’s degree in Administration, International Relations, Business Management, Public Relations, or another related field from a recognized institution. A minimum of three (3) years of relevant professional experience in administrative, secretarial, or executive assistant roles — ideally within an embassy, international organization, or government office. Excellent command of English, both written and spoken. Knowledge of Spanish will be considered a strong asset. Demonstrated computer literacy, including proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and basic digital filing systems. Strong organizational and time-management skills, with the ability to multitask and prioritize effectively. A high level of professionalism, reliability, and integrity, with sensitivity to working in a diplomatic and multicultural environment. Strong interpersonal skills and the ability to communicate effectively with colleagues, officials, and members of the public. Desirable Attributes Knowledge of administrative procedures in diplomatic missions or international organizations. Familiarity with Kenyan government administrative systems and procedures. Ability to work both independently and collaboratively under minimal supervision. Flexibility to handle diverse tasks and adjust to changing priorities. Excellent attention to detail and accuracy in all administrative and written communications. Contract and Conditions Type of Contract: Fixed-term (full-time) Duration: To be confirmed upon appointment, subject to performance and operational requirements. Working Hours: Monday to Friday, standard working hours (occasional flexibility required during official events). Duty Station: Nairobi, Kenya Compensation: Competitive and commensurate with experience; details to be discussed during the interview stage.
