The IP Youth Workshop Coordinator role is a deliverable-based coordination position designed to support the successful planning, delivery, and follow-up of an Indigenous Peoples (IP) Youth Workshop. The Coordinator works closely with Indigenous Youth Leads, the Global Youth Biodiversity Network (GYBN), FAR, and partner organizations to ensure the workshop is grounded in Indigenous values, youth leadership, and culturally respectful processes. The position requires strong organizational capacity, intercultural sensitivity, and the ability to manage complex, multi-stakeholder processes across different time zones and institutional contexts. Role Purpose The IP Youth Workshop Coordinator is responsible for overseeing coordination, fundraising support, programme preparation, participant management, and documentation across the full lifecycle of the workshop. The role ensures that planning processes remain on track, communication is clear and inclusive, and that Indigenous worldviews and youth leadership are reflected throughout the workshop design and delivery. Key Responsibilities Coordination and Partnership Management The Coordinator supports the core organizing team and partner network by: Facilitating regular coordination meetings and follow-up actions Maintaining consistent communication between partners, facilitators, and logistics teams Tracking timelines, deliverables, and responsibilities Ensuring documentation of decisions, agreements, and action points Fundraising Support The Coordinator contributes to securing remaining workshop funding through: Drafting or co-drafting fundraising and donor-facing materials Supporting donor outreach and coordinating follow-ups Assisting with reporting requirements linked to newly secured funding Maintaining a transparent and up-to-date fundraising tracker Programme Design and Content Preparation The role supports the development of a coherent and culturally grounded learning journey by: Assisting with the overall workshop structure, agenda, and timeline Coordinating inputs from Indigenous designers, youth leads, and cultural knowledge holders Ensuring content reflects Indigenous worldviews, intersectionality, community realities, and local contexts Organizing preparatory materials, participant communications, and resource packs Application and Selection Process The Coordinator manages the end-to-end application and selection process, including: Coordinating the call for applications and dissemination strategy Managing the application platform and responding to applicant inquiries Organizing and tracking applications for the selection committee Scheduling interviews for shortlisted applicants Documenting selection outcomes and communicating results to all applicants Participant Coordination and Logistics Following participant selection, the Coordinator works closely with the logistics team to: Support visa processes where required Ensure safe, culturally appropriate travel arrangements Coordinate accommodation aligned with gender, safety, and cultural considerations Maintain clear, supportive communication with participants prior to the workshop Support smooth on-site coordination during the event Workshop Delivery Support During the workshop phase, the Coordinator may: Provide on-the-ground or remote support, depending on final planning Coordinate facilitator needs and session flow Support daily adaptations to the programme as required Ensure effective communication among youth participants, elders, partners, and support staff Review and support implementation of relevant policies, including travel-related policies Documentation and Reporting The Coordinator is responsible for maintaining clear and accessible records by: Documenting processes, decisions, contacts, and communications Supporting narrative and financial reporting in coordination with the core team Preparing a concise final internal report summarizing learnings and recommendations Leading or supporting internal debrief and reflection sessions Key Deliverables Updated fundraising tracker and coordination of outstanding fundraising tasks Workshop design plan, including agenda, structure, and timeline Application call package and dissemination plan Organized application database and completed selection workflow Final participant list with pre-workshop communication completed Logistics coordination delivered in collaboration with the logistics team Workshop delivery support provided Final summary report capturing processes, learnings, and recommendations Timeline and Contract Details Contract period: 1 March 2026 – 31 January 2027 Nature of role: Deliverable-based, with increased workload closer to the workshop Compensation: Payment details will be shared with shortlisted and interview-confirmed candidates Required Qualifications Candidates must demonstrate: Proven experience coordinating multi-stakeholder workshops, preferably international or intercultural Strong project management, organization, and follow-up skills Excellent written and verbal communication abilities Experience working with Indigenous communities or youth-led initiatives Ability to engage respectfully across diverse cultural contexts Proficiency in Google Workspace tools, including Forms, Sheets, and Drive Full professional fluency in English Capacity to work both independently and collaboratively in distributed teams Preferred Qualifications The following are considered strong assets: Indigenous identity, strongly encouraged though not mandatory Experience supporting fundraising or grant writing processes Background in youth programming, social movements, policy engagement, or capacity-building Familiarity with biodiversity, climate justice, rights-based conservation, or UN processes Fluency in one or more additional UN languages
