Heifer International has announced an opening for a Benefits & People Administrative Assistant, providing an opportunity for an experienced human resources and administration professional to join its U.S. People Operations and Total Rewards teams. Benefits & People Administrative Assistant Role The Benefits & People Administrative Assistant will support the U.S. People Operations and Total Rewards functions throughout the employee lifecycle. The role is split approximately equally between benefits administration and People Operations. Responsibilities include maintaining employee records, supporting HR systems, preparing reports, coordinating benefits activities, processing invoices and responding to routine employee requests. The position reports to the U.S. Total Rewards Manager and works closely with the Benefits and People Operations Specialist. Key Responsibilities The successful candidate will undertake a broad range of administrative and HR-related duties, including: Benefits Administration – 50% Review monthly benefits vendor invoices and billing statements. Identify discrepancies and provide information to the Total Rewards Manager. Prepare benefits invoice payment requests and supporting documentation. Coordinate routine billing inquiries with benefits brokers. Support retirement contribution administration and related documentation. Prepare regular and ad hoc HR and benefits reports. Support the U.S. employee well-being programme. Coordinate incentives, prize drawings and participation records. Process well-being reimbursement requests. Order anniversary gifts and maintain service award catalogues. Maintain recognition letters for promotions and service milestones. Coordinate monthly and annual anniversary reporting with payroll. People Operations – 50% Process routine unemployment claims and employment verification requests. Maintain employee records and personnel documentation in HR systems. File new-hire, payroll, personnel and job-description documentation. Monitor and route requests through the U.S. People ticketing system. Support the onboarding of U.S. interns and volunteers. Schedule meetings and assist with People team activities. Prepare HR reports covering recruitment, turnover, new hires, terminations and other workforce metrics. Maintain confidential personnel files. Coordinate updates to the U.S. People Engagement Plan. Provide administrative support to other People team members when required. Eligibility and Minimum Requirements Applicants should have an associate degree or continued education in Human Resources, Business Administration or a related discipline. An equivalent combination of education and professional experience may also be considered. Candidates are expected to have: Two to three years of administrative experience in HR, benefits administration, People Operations, Total Rewards or a related area. Experience using Human Resources Information Systems. Strong proficiency in Microsoft Office, particularly Excel, Word and Outlook. Experience supporting employee lifecycle processes. Experience with employee benefits or Total Rewards programmes. Excellent organisational and time-management abilities. Strong attention to detail. The ability to maintain confidentiality when handling sensitive employee information. Strong written, verbal and interpersonal communication skills. The ability to work independently and collaboratively in a remote environment. Salary and Employee Benefits Heifer International lists a salary range of $53,000 to $60,000 per year, with the final placement determined by the candidate’s experience and competency level.
