HAD supports the learning and professional development of Islamic Relief Worldwide staff, as well as practitioners, organisations, and institutions across the wider humanitarian ecosystem. HAD’s work places a strong emphasis on localisation, equitable partnerships, and strengthening the capacity of local and national NGOs to respond effectively to humanitarian and development challenges worldwide. Role Overview The Programmes & Grants Assistant plays a key support role in ensuring the effective delivery of HAD’s capacity strengthening programmes. Based in Birmingham with hybrid working arrangements, the role provides administrative, operational, and coordination support across programmes and grant-funded activities. This position is ideal for an organised and motivated professional with an interest in the humanitarian and development sector, strong administrative skills, and a commitment to high-quality programme delivery. Role Purpose The purpose of the role is to: Support the smooth implementation of HAD’s programmes and grants Provide efficient administrative and operational assistance to programme teams Contribute to achieving organisational objectives and performance targets Ensure accurate reporting, coordination, and compliance across activities Key Responsibilities Programme and Grant Support The Programmes & Grants Assistant supports programme delivery by: Providing day-to-day administrative support to capacity strengthening programmes Assisting with the coordination of programme activities, events, and schedules Supporting the management of grant-funded projects in line with donor requirements Ensuring accurate record-keeping and documentation for programmes and grants Reporting and Performance Monitoring The role contributes to organisational accountability through: Producing internal updates and high-quality written reports Supporting data collection for monitoring programme progress and outputs Assisting teams to track progress against targets, KPIs, and organisational strategy Helping ensure timely submission of reports and updates to internal stakeholders Operational and Administrative Coordination Key operational responsibilities include: Supporting financial and operational processes related to programmes and grants Assisting with tracking deliverables, timelines, and milestones Coordinating meetings, workshops, and learning activities Supporting problem-solving by applying judgement and initiative when challenges arise Collaboration and Team Support The role works closely with colleagues by: Supporting a participatory and collaborative working environment Communicating effectively with internal teams and external stakeholders Contributing to a supportive culture that values learning and professional development Ensuring clear and timely information flow across teams Required Skills and Experience Education and Sector Awareness The successful candidate is expected to have: An undergraduate degree or equivalent qualification Understanding and awareness of the humanitarian and development sector Interest in capacity strengthening, learning, and localisation efforts Professional Experience Applicants should demonstrate: Experience providing a broad range of administrative and operational support Previous work in the charitable sector, CSOs, NGOs, or similar organisations (preferred) Proven ability to work towards targets, objectives, and KPIs Experience meeting deadlines and managing competing priorities Confidence using initiative and judgement to resolve routine challenges Core Competencies Key competencies include: Strong organisational and time-management skills Excellent attention to detail and accuracy Ability to produce clear updates and high-quality written reports Effective communication and interpersonal skills Commitment to teamwork, inclusion, and continuous learning Organisational Values and Safeguarding HAD and Islamic Relief Worldwide are guided by the core values of: Sincerity – Acting with integrity and responsibility towards humanity Excellence – Delivering high-quality programmes and professional conduct Compassion – Responding to suffering with care and dignity Social Justice – Empowering communities to fulfil their rights Custodianship – Acting transparently and responsibly with entrusted resources The organisation is committed to safeguarding and preventing all forms of abuse, exploitation, and misconduct.
