The organisation hosts three flagship initiatives: REACH Initiative, which produces data, assessments, and information products to support humanitarian decision-making; PANDA Initiative, focused on improving programmatic efficiency, effectiveness, and performance for aid actors; and AGORA Initiative, which promotes localized, multisectoral approaches to support crisis-affected communities in their recovery and stabilization. IMPACT’s teams are composed of specialists in data collection, data analysis, information management, and GIS. The organisation operates in close partnership with Acted through a global agreement that enables operational support across field missions. Position Overview The Logistics and Travel Intern will support the IMPACT Senior Logistics & Travel Officer and assist the HUB (Logistics & Travel) Unit in managing procurement, asset management, office administration, and travel coordination for HQ and field teams. This internship is designed to provide hands-on experience in humanitarian logistics, operational support, and headquarters service functions. Responsibilities will expand progressively based on performance and the intern’s evolving capabilities. Key Responsibilities 1. Procurement SupportThe intern will assist with end-to-end procurement processes for HQ and field teams operating in 25+ intervention countries. Responsibilities include: Following up on procurement requests and ensuring timely progression of procurement workflows; Supporting consolidation of procurement files, collecting quotations, and compiling purchase documentation; Coordinating with suppliers, tracking deliveries, and ensuring procurement compliance with donor and internal standards related to competition, transparency, and data protection; Potentially assisting in emergency deployment procurement (e.g., purchasing equipment for rapid field mobilization), depending on performance. 2. Assets and License ManagementThe role will support IMPACT’s asset and software license monitoring systems through: Updating the online asset management database; Tracking license requests and updating allocation records; Managing IMPACT’s license portfolio to ensure accuracy and continuity of access. 3. Geneva Office ManagementThe intern will assist in maintaining the daily operations of the Geneva office, including: Monitoring office supply stock and initiating procurement when needed; Communicating with suppliers to address office-related issues such as printer maintenance or internet connectivity problems; Welcoming visitors, answering phone inquiries, and assisting with HQ-specific onboarding processes for new staff; Supporting logistics for events, trainings, and meetings. 4. Travel Coordination SupportA significant portion of the role involves supporting the travel function for IMPACT’s global workforce. Tasks include: Managing incoming travel requests and prioritizing them appropriately; Coordinating with Human Resources, Finance, and field teams to gather required travel information; Booking flights, trains, and accommodation through IMPACT’s partner travel agency; Supporting visa application processes and ensuring timely follow-up; Organizing bi-monthly induction sessions for newly recruited staff. Required Qualifications and Skills Candidates should hold or be pursuing studies in international relations, political science, social research, economics, humanitarian action, development studies, or a related discipline. Essential competencies include: Fluency in English, with a good working level of French strongly preferred; Proficiency in Microsoft Office 365; Basic understanding of logistics and procurement processes; Strong organizational skills and ability to work independently; Capacity to work under pressure and manage multiple tasks concurrently; Strong interest in humanitarian operations and familiarity with donor regulations is an advantage; Knowledge of IT/IS or data science is considered a plus; Ability to work effectively in a multicultural environment. Compensation and ConditionsThe internship stipend is 1,450 CHF per month before tax, inclusive of a 489 CHF contribution toward medical insurance. Compensation aligns strictly with IMPACT’s internal salary grid, which factors in position grade, education level, and experience. The position allows for up to 40 percent remote work each week.
