About the International Detention Coalition (IDC) The International Detention Coalition (IDC) is the world’s leading network dedicated to ending immigration detention. As a global coalition, IDC unites civil society organisations, community groups, and individuals advocating for non-custodial, rights-based alternatives to detention (ATD). The organisation upholds the human rights and dignity of refugees, migrants, and all people on the move, promoting freedom while individuals await immigration outcomes. IDC is a fully remote, impact-driven organisation with a team of approximately 20 professionals, operating across multiple countries. The organisation is recognised globally for its advocacy and policy work, delivering change at local, national, regional, and international levels. Role Overview The Administration Coordinator is responsible for developing, managing, and optimising IDC’s administrative and operational systems, ensuring the smooth functioning of day-to-day operations. Reporting to the Operations and Development Manager, the role provides organisational support across human resources, finance, grants, membership, executive assistance, and operational compliance in a fully remote, multi-country context. Location: Remote (Malaysia, Thailand, or Kenya) – candidates must have the right to work in their country of application. Employment Type: Full-time, 5 days per week Languages: Excellent oral and written English Compensation: Malaysia: 74,000–84,000 MYR per annum Thailand: 580,000–660,000 THB per annum Kenya: 2,250,000–2,750,000 KES per annum Key Responsibilities Systems and Platform Management Oversee IDC’s digital systems, contracts, licenses, maintenance, cybersecurity, and optimisation (Google Workspace, Zoom, Asana, NationBuilder, BambooHR). Maintain IDC’s knowledge management systems (Dropbox) for accessibility and organisation. Provide user support and develop processes to improve staff engagement with administrative platforms. Coordinate regular system reviews with Finance and Operations teams to ensure efficiency and cost-effectiveness. Internal Coordination and Communication Maintain internal calendars, manage team meetings across time zones, and document agendas and notes. Coordinate logistics for team retreats, including travel, accommodation, and scheduling. Human Resources Administration Manage recruitment processes, including job postings, candidate communications, and panel support. Coordinate onboarding and offboarding, including administrative inductions, technology setup, and record-keeping. Maintain confidential personnel records and track leave balances in collaboration with team members. Draft standard HR letters and manage travel insurance arrangements. Finance and Grant Administration Support Finance Coordinator with expense management, asset registers, and grant record keeping. Implement and monitor grant processes, tracking deadlines for financial and narrative reporting. Assist with grant applications and administer submission processes. Maintain Grants Management Systems where relevant. Membership Administration Maintain and update membership records and contact lists. Manage application processing and communications with prospective members. Coordinate logistics for member meetings, including Annual General Meetings. Executive and Operations Support Support the Executive Director with travel, expense reporting, and administrative tasks. Assist in board meeting administration, including agendas, calendar management, and documentation. Coordinate organisational insurance renewals and compliance requirements across IDC’s entities. Collaboration and Communication Work closely with the Operations and Development Manager and Executive Director to address administrative queries and organisational tasks. Attend team meetings and retreats to provide operational support. Core Responsibilities Contribute to a collaborative, respectful, and solutions-focused team culture. Ensure administrative systems, processes, and infrastructure are sustainable and accessible. Align with IDC’s mission, vision, and core values, promoting human rights and equity. Actively engage with institutional policies, including the Code of Conduct, to maintain a positive working environment. Key Selection Criteria Essential: 3–5 years administration and coordination experience, preferably in a non-profit or complex organisation. Proficiency with digital tools, shared drives, HR systems, and cloud-based platforms. Strong organisational, prioritisation, and multitasking skills. Experience in compliance administration, including legal obligations, reporting, and risk management. HR administration experience, including recruitment coordination and record maintenance. Finance and grant administration experience. Clear communication skills and comfort in a remote, multi-country team. High professionalism, discretion, and accountability. Proactive, adaptable, and able to work across multiple time zones. Commitment to human rights of refugees, migrants, and detainees. Alignment with IDC’s collaborative and inclusive values. Desirable: Experience in international or multi-country NGOs. Familiarity with tools like Google Workspace, Asana, BambooHR, NationBuilder, Dropbox. Experience in donor- or grant-funded environments.
