The International Rescue Committee (IRC) seeks an Immigration Administrative Assistant to support its Immigration Team in Spokane, WA. This hybrid, full-time role involves managing client communications, maintaining case records, and performing administrative tasks critical to the delivery of high-quality immigration services. The position reports to the Managing Attorney and works closely with all members of the immigration team. Key Responsibilities Client Support & Scheduling Maintain updated knowledge of IRC case acceptance policies across immigration programs and grants. Schedule appointments for clients with legal assistants, representatives, or attorneys. Follow up with clients through calls or text messages to confirm appointments and provide updates. Communication & Record Management Answer client calls, emails, and texts, resolving common concerns and referring cases requiring legal input to appropriate team members. Log all client communications in the case management system. Open, process, and record mail related to immigration programs, including USCIS and NVC correspondence. Document & Case File Management Create and maintain physical and virtual case files according to standardised protocols. Scan, upload, and prepare complete documents for submissions to USCIS. Ensure strict adherence to confidentiality rules and protocols governing the unauthorized practice of law. Administrative Support Assist with other projects and tasks assigned by the Managing Attorney. Support the smooth functioning of the immigration office and administrative processes. Required Qualifications Language Skills: Fluent in spoken and written English; bilingualism in a major client language is highly preferred. Education & Experience: Experience working in multi-cultural environments; familiarity with immigration legal services is desirable. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and web-based tools (Google Forms, Box, ETO, databases). Professional Skills: Strong organizational abilities, attention to detail, problem-solving capabilities, and ability to prioritize tasks in a fast-paced, client-facing environment. Teamwork & Independence: Ability to work effectively both independently and as a part of a collaborative team. Work Environment Standard office setting at IRC Spokane. Occasional evening or weekend work as needed. Access to reliable transportation for off-site program activities. Compensation Pay range: $19–$20 per hour, based on factors including labor market, role type, internal equity, and candidate experience.
