Submission Deadline: 18 November 2025Anticipated Contract Award: December 2025 Invitation to Tender The Lead Exposure Elimination Project (LEEP) invites experienced and qualified event management firms to submit proposals for the provision of professional event and logistical services. These services will support upcoming regional workshops and stakeholder events designed to advance cooperation and capacity-building among African governments on lead paint regulation and enforcement. The selected firm will deliver comprehensive logistical coordination, ensuring seamless planning, implementation, and closure of events in line with LEEP’s principles of efficiency, integrity, and partnership. About LEEP LEEP is a data-driven, impact-focused nonprofit organization dedicated to eliminating childhood lead poisoning, a preventable public health crisis affecting one in three children globally. Its primary focus is the elimination of lead in paint, one of the most pervasive sources of exposure. Through partnerships with governments, manufacturers, and international organizations, LEEP supports regulatory reform, facilitates transitions to lead-free paint production, and implements interventions addressing other exposure sources such as spices and cosmetics. Since its founding in 2020, LEEP has: Initiated lead paint elimination programs in 31 countries and conducted paint studies in 18. Partnered with 16 governments to develop national lead paint regulations. Supported manufacturers in 10 countries, representing over 50% of national market shares, in reformulating to lead-free alternatives. Achieved measurable market impact, including a sharp decline in lead paint sales in Pakistan, where millions of children are at risk. Conducted studies on lead in spices in Ethiopia and Türkiye, with ongoing interventions. LEEP’s work is recognized for its exceptional cost-effectiveness—$1.66 to prevent one child’s lead exposure on average—and has earned partnerships with WHO, UNEP, and USAID under the Global Alliance to Eliminate Lead Paint. The organization’s initiatives have been featured in Nature, Vox, Time Magazine, and The New Yorker. Objective The purpose of this assignment is to engage a professional firm capable of delivering full-service event management and logistics support for LEEP’s regional workshops in Nairobi. These workshops will strengthen government engagement, regional coordination, and policy enforcement capacities to accelerate the elimination of lead exposure across Africa. Scope of Work The selected firm will provide end-to-end event management, covering planning, coordination, on-site delivery, and post-event reporting. Key responsibilities include: a) Planning and Coordination Identify and secure suitable venues with capacity for plenary and breakout sessions. Coordinate travel, accommodation, and airport transfers for delegates. Manage vendors for audiovisual, photography, and other technical services. Conduct pre-event site visits and testing, ensuring readiness 48 hours before start. Develop a logistics timeline and detailed event plan aligned with LEEP’s schedule. b) Event Delivery Oversee venue setup, registration, signage, and technical coordination. Supervise service providers and ensure professional on-site support. Manage real-time logistics, troubleshooting, and coordination with LEEP staff. Arrange professional photography and videography to capture key moments. Support special sessions such as the public commitment ceremony and national planning meetings. c) Post-Event Closure Submit verified invoices, participant records, and financial documentation. Deliver a media package including 50 edited photographs and a 2–3-minute highlight video. Participate in a post-event debrief to assess performance and finalize deliverables. Deliverables Pre-Event: Logistics plan, confirmed venues, vendor agreements, and participant information packs. During Event: On-site coordination, vendor supervision, and participant support. Post-Event: Media outputs, attendance lists, financial documentation, and debrief participation. Duration and Coordination Engagements will be event-specific and managed in close coordination with LEEP’s Head of Program Partnerships and relevant staff. The firm will provide consistent communication, ensuring high-quality logistical support throughout all event phases. Required Qualifications Essential: Minimum five years of experience managing regional or international conferences. Proven administrative, logistical, and vendor management expertise. Experience with NGOs, governments, or multilateral organizations. Preferred: Established supplier and vendor networks. Capacity to pre-finance event logistics before reimbursement. The contract will be a fixed-price agreement with milestone-based payments: 20% at signing, 60% during implementation, and 20% upon final approval.
