The Africa Team The Senior Program Assistant will join the Africa team, which plays a critical role in advancing the foundation’s goals across Sub-Saharan Africa (SSA). The team focuses on scaling proven interventions that address diseases and socio-economic challenges endemic to the region. This work is delivered through direct country engagement and by building strong partner ecosystems that allow successful models to be replicated across multiple countries. The team works closely with regional leaders, grantees, and internal stakeholders to ensure sustained impact. About the Role The Senior Program Assistant will provide high-level administrative, organisational, and project support to the Director for Africa and members of the Director’s Office. As a core member of the Africa team, the role is central to ensuring smooth operations, effective coordination, and strong leadership support. The position reports to the PA Manager – Continental, with a dotted-line relationship to the Director and the Deputy Director, Leadership Advising. The role requires discretion, initiative, and the ability to work confidently with senior leaders and external partners. Key Responsibilities Executive and Leadership Support The Senior Program Assistant will manage complex calendars across multiple time zones, coordinate high volumes of meetings and travel, and ensure leaders are fully prepared with agendas, briefing materials, and pre-reads. The role also involves synthesising information, flagging critical issues, and supporting leadership decision-making. Project and Program Delivery The role provides project management support across the Africa team, coordinating workloads, tracking timelines, and supporting division-specific initiatives. The Senior Program Assistant will help drive execution of key priorities, proactively identifying risks and ensuring alignment with regional objectives. Meeting and Event Management Responsibilities include coordinating high-level meetings and events involving internal teams and African leaders, managing logistics, capturing and synthesising meeting notes, and tracking action items. The role also involves planning and delivering conferences, retreats, and leadership engagements, often requiring real-time problem-solving. Communication and Briefing The Senior Program Assistant will engage regularly with grantees and partners, develop concise briefing materials for leadership engagements, and anticipate information needs to ensure leaders are well prepared. Clear, timely communication is a core element of the role. Operational Excellence The role includes maintaining organised systems for files, records, and knowledge management, managing the team’s SharePoint site, and supporting financial processes such as expenses, budgets, and invoice reconciliation. Oversight of team calendars and coordination of workstreams is also essential. Stakeholder Engagement and Strategy Support The Senior Program Assistant will liaise with internal and external stakeholders, support strategic planning and reviews, and contribute to problem-solving and decision-making processes. The role also helps foster a strong, cohesive team culture under tight deadlines. Experience and Skills Candidates must hold a bachelor’s degree (advanced degree preferred or equivalent experience) and have at least five years’ experience supporting senior executives in a complex, fast-paced environment. Strong organisational, communication, and project management skills are essential, along with sound judgment, diplomacy, and the ability to work autonomously and collaboratively. Knowledge of the African business or development context is desirable. Proficiency in Microsoft Word, Outlook, Excel, PowerPoint, and SharePoint is required, along with the ability to quickly learn new systems.
