Role Overview The University of Maryland, College Park (UMCP) is recruiting a Program Management Specialist to provide operational, administrative, and logistical support within the Department of Intercollegiate Athletics. This full-time position plays a central role in managing essential functions that support Facilities, Operations, and Event Office activities. Acting as both an administrator and liaison, the specialist ensures seamless coordination between the Athletics Department and key campus partners, including Transportation Services, Facility Management, Telecommunications, and Mail Services. The specialist is responsible for coordinating parking logistics, phone services, security arrangements, mail distribution, and key management for department personnel. They also oversee procurement operations, schedule meetings, prepare departmental reports, and support student employee development. As a representative of the Facilities, Operations, and Events office during Football and Men’s Basketball gamedays, the specialist must demonstrate strong professionalism and exceptional customer service while addressing departmental and public inquiries. Key Responsibilities The Program Management Specialist supports a wide scope of administrative operations. Their responsibilities include managing daily office activities, processing procurement requests, and ensuring compliance with university policies. By coordinating communication between athletics staff and various campus units, the specialist ensures that operational needs are met in a timely and efficient manner. The role also involves preparing internal reports, maintaining accurate records, and assisting with logistical arrangements for events and departmental functions. Mentorship and supervision of student employees form part of the daily workflow, requiring the specialist to provide guidance, assign tasks, and foster professional skill development. On athletics gamedays, the specialist serves in an administrative support capacity, helping manage facility operations and ensuring that departmental procedures are followed. The role requires polished communication skills and the ability to address concerns courteously, reinforcing a high standard of service within the Athletics Department. Physical Requirements The position involves extended periods of sitting and extensive computer use, paired with the ability to operate office equipment requiring manual dexterity. Occasional walking or standing may be required for meetings, orientations, or operational tasks. The role may require the lifting of office materials weighing up to 25 pounds. Strong verbal, auditory, and visual abilities are essential for reviewing payroll data, collaborating with staff, and managing day-to-day communication needs. Minimum Qualifications Candidates must hold a bachelor’s degree and possess at least two years of administrative staff experience. UMCP allows a substitution of additional work experience or academic credits on a year-for-year basis, with 30 college credits considered equivalent to one year of experience. Applicants should demonstrate the skills, knowledge, and abilities necessary for the full performance of duties at the specialist level. The specialist must be capable of managing high-volume administrative tasks, effectively communicating with staff, and prioritising responsibilities in a dynamic environment. Strong organisational skills, attention to detail, and proficiency with standard office software are essential. Preferred Qualifications The university prefers candidates with one to three years of experience working in collegiate athletics facilities or similar operational environments. Experience in multi-facility operations and high-demand administrative settings, particularly within large university systems, is highly valued. Given the nature of athletics operations, candidates should be prepared for flexible scheduling, including evenings, weekends, and holidays.
