War Child Netherlands (WCNL) is one of the fundraising members of the War Child Alliance and is primarily responsible for institutional donors and foundations in the Netherlands. The Institutional Fundraising & Netherlands Programs (IF&NP) department secures institutional funding and implements programs within the Netherlands. The team plays a crucial role in achieving War Child’s mission: delivering direct, positive impact on the well-being of children affected by conflict. The Role War Child Netherlands is seeking a Support Officer Institutional Funding (20–24 hours per week) to strengthen the operational effectiveness of the Institutional Fundraising team. The Support Officer enhances internal systems, optimizes workflows, and manages information, data, and contracts. The role involves close collaboration with IF team colleagues, operational teams, and the international alliance. The position reports directly to the Head of Department. Key Responsibilities Contract and Grant Management Support Provide administrative support for institutional funding processes Draft internal agreements, funding agreements with partners, sub-grant agreements, and amendments in line with donor contracts and budgets Coordinate contract approvals and signatures Track contract status, key milestones, and ensure complete and accurate archiving Support timely submission of proposals and reports by compiling required documentation and ensuring compliance with donor requirements Process Support and Coordination Support daily administrative and operational processes related to institutional fundraising and project management Identify bottlenecks or inefficiencies in workflows and initiate improvements to grant management guidelines Coordinate internal workflows, track deadlines, follow-ups, and required team inputs Represent the IFNP team in coordination with colleagues from the international organization Data Analysis and Information Management Prepare quarterly and routine reports Conduct spot checks in the grant management system to maintain high data quality Monitor data consistency across systems and flag discrepancies Organize and archive project and donor documentation in SharePoint in accordance with organizational standards Candidate Profile Education and Experience Background in project management, business administration, or related field Relevant experience in project management and project support Experience in data and information management within projects Familiarity with the project and grant lifecycle Knowledge Basic knowledge of information systems, preferably SharePoint, Salesforce, and Power BI Understanding of administrative and operational organizational processes Knowledge of quality assurance and compliance processes Basic understanding of contracts, agreements, and donor requirements (experience with DRA, Dutch Ministry of Foreign Affairs (BZ), and ECHO requirements is an asset) Insight into budgeting and basic financial management Skills Fluency in Dutch and excellent command of English (written and spoken) Strong planning, coordination, and reporting skills Effective time management and organizational capacity Careful handling of donor, project, and financial information Systematic document management and archiving Ability to follow procedures and checklists consistently Proficiency in Excel and Microsoft Office Capacity to identify process gaps and propose improvements Experience supporting meetings (agenda setting, minute-taking, follow-ups, information sharing) What War Child Offers Salary between €3,052 and €3,795 gross per month (based on 40 hours; adjusted according to relevant experience) 8% holiday allowance 20–24 hour employment contract 29 annual leave days (full-time basis), including 3 fixed holidays Fully employer-funded pension scheme Hybrid working policy with compensation for home-working and commuting costs Monthly mobile phone allowance (€25 net) Personal development and wellbeing benefits A supportive working atmosphere and meaningful mission Application Process Candidates are invited to apply as soon as possible, and no later than 6 March 2026.
