CIVICUS Programme Assistant – Local Leadership Labs Project Close-Out (Remote) CIVICUS, the global civil society alliance, is inviting applications for a Programme Assistant to support the close-out of its Local Leadership Labs (LLL) initiative. About CIVICUS and the Local Leadership Labs Initiative CIVICUS works to strengthen civil society worldwide and support the development of inclusive, effective civic spaces. The Local Leadership Labs initiative has been a key component of CIVICUS’ efforts to empower local leaders and strengthen grassroots capacity. As the initiative reaches its conclusion, CIVICUS seeks a dedicated Programme Assistant to ensure the project’s successful close-out. The role will focus on finalizing project activities, managing documentation, supporting partner organizations, and consolidating learnings to preserve institutional knowledge. Role Overview The Programme Assistant will work under the supervision of the Advisor for Strategic Initiatives and in close coordination with the Project Coordinator for the LLL initiative. The primary objective is to assist in implementing the project close-out plan, which includes administrative, technical, and knowledge management tasks. The Programme Assistant will liaise with local partners and stakeholders to ensure that subgrant and project obligations are completed, while also maintaining compliance with both internal organizational standards and funder requirements. The position emphasizes collaboration across CIVICUS’ clusters and teams, reflecting the organization’s horizontal operational model. This cross-functional environment allows the Programme Assistant to gain exposure to multiple aspects of international project management and civil society engagement. Key Responsibilities Project Close-Out Implementation (40%) A significant portion of the Programme Assistant’s responsibilities will involve supporting the implementation of the project close-out plan. Key tasks include: Providing technical and logistical support for scheduling, organizing, and documenting virtual meetings. Assisting in managing consultant contracts, ensuring compliance with CIVICUS procedures. Supporting the planning and execution of final project events and activities. Organizing and maintaining documentation, reports, and resources to meet funder and organizational requirements. Contributing to the drafting of final reports and consolidating programmatic insights for institutional knowledge retention. Administrative Support (40%) Administrative responsibilities will focus on ensuring accurate and complete project closure, including: Ensuring that all project documentation is properly filed and up to date. Supporting local partners in meeting subgrant closure requirements, including document filing and coordination with finance and operations teams for final payments. Assisting with final financial reconciliations and ensuring all close-out activities are aligned with organizational protocols. Communication Support (10%) The Programme Assistant will assist in disseminating relevant information both internally within the CIVICUS Secretariat and externally to stakeholders. This includes helping to communicate project outcomes and learnings to partners and broader audiences. Additional Duties (10%) The post-holder may be required to perform other tasks within the scope of the role as needed. All responsibilities will be performed in accordance with CIVICUS values, including respect, integrity, and collaboration. Candidate Profile Essential Qualifications and Skills The ideal candidate will have a degree in a relevant field or equivalent work experience, along with at least one year of experience in project support or administration. Strong English language skills are required. Candidates should have familiarity with civil society, human rights, and global development issues, as well as the ability to work effectively in remote, multicultural environments. Additional essential skills include: Proficiency in IT tools, including Microsoft Office, Google Docs, SharePoint, and collaborative platforms such as Miro. Strong organizational and time management abilities, including the capacity to manage multiple deadlines and tasks simultaneously. Effective communication and knowledge management skills, with attention to detail and accuracy. Desirable Experience While not mandatory, CIVICUS encourages applications from candidates with practical experience working with civil society organizations or grassroots groups, particularly in the Global South. Experience in project close-out processes, grants administration, and financial reconciliation is highly valued. Contract and Compensation The Programme Assistant position is a fixed-term, short-term contract lasting three months, from April 1 to June 30, 2026. The annualized salary for the role is USD 20,820.20, excluding additional benefits. The position is fully remote, allowing the candidate to work from any location, and reports directly to the Advisor: Strategic Initiatives.
