Position Overview The HR & Admin Officer serves as a key member of MedGlobal’s Human Resources team, ensuring the seamless operation of HR functions for headquarters staff. Reporting directly to the HR Coordinator and working closely with the HR Manager, this position provides vital administrative and operational support that upholds the organization’s HR standards and practices. This role demands a combination of strong organizational ability, attention to detail, and a comprehensive understanding of HR procedures. The HR & Admin Officer will be responsible for maintaining accurate employee records, facilitating onboarding processes, assisting with recruitment, and ensuring compliance with both organizational policies and labor regulations. Operating in a remote capacity, the officer will be instrumental in creating an efficient and transparent HR environment that supports MedGlobal’s mission-driven workforce. Key Responsibilities Employee Records Management: Maintain comprehensive, accurate, and confidential personnel files for all HQ staff, ensuring compliance with documentation standards. Contract Administration: Prepare, update, and archive employment contracts, amendments, and related documents in coordination with the HR Coordinator. HR Process Support: Assist in payroll administration, document verification, and the implementation of HR systems and policies. Onboarding and Integration: Prepare induction materials, collect required documentation, and facilitate a smooth onboarding experience for new hires. Compliance Monitoring: Track staff adherence to HR requirements and internal policies, ensuring that all documentation is complete and current. Reporting and Analytics: Generate HR reports, maintain trackers and dashboards, and provide analytical insights to inform HR decisions. Administrative Support: Organize HR meetings, training sessions, and staff engagement activities, ensuring effective logistical arrangements. Recruitment Assistance: Support job postings, application screening, interview scheduling, and reference checks when required. Policy Adherence: Uphold compliance with MedGlobal’s HR policies and international labor standards. Confidentiality: Maintain the highest level of discretion and integrity in handling employee data and HR files. Additional Duties: Perform other HR-related tasks as directed by the HR Manager. Qualifications and Skills Bachelor’s degree in Human Resources, Business Administration, or a related field. Three to five years of progressive experience in HR operations, administration, or personnel management. Strong understanding of HR processes, documentation, and compliance standards. Experience supporting recruitment functions, including job advertising, screening, and shortlisting, is desirable. Excellent written and verbal communication skills in both English and Arabic. Exceptional organizational skills and meticulous attention to detail. Proficiency in Microsoft Office applications (Word, Excel, Outlook) and familiarity with HR information systems. Proven ability to work independently and manage responsibilities in a remote setting. Prior experience working with NGOs or INGOs is required.
